Build a Triage System

Process your inbox in blocks rather than reactively throughout the day. Open Conversations, filter to Unread, and move through each message with one of four actions:

  • Reply now for messages that need a response and take under two minutes
  • Star it for messages that need a thoughtful reply you will write later
  • Assign it to a team member if it belongs to them
  • Add a note to capture context before closing

After processing, your unread count should be zero. Starred conversations are your action list for the next session.

Use Notes to Preserve Context

When a conversation spans multiple days, add an internal note immediately after it. Notes are attached to the contact record and visible the next time you open their thread. Capture: what they told you, what you promised to send, where they are in the buying process.

One sentence is enough: "Said she's been struggling with lead gen for 6 months, wants to book discovery call next week after kids are back in school."

Automate the First Response

Conversation AI or a simple workflow can send an instant acknowledgement to any new conversation. That automated first response buys you time to give a thoughtful human reply without the lead wondering if anyone received their message. Go to Automation → Workflows and set up a trigger on new conversation to send an immediate SMS or email.

A first response sent within 5 minutes, even if automated, dramatically increases the chance of a lead converting to a booked call.
