Before You StartPlan each calendar type before building: name, duration, audience, and location (Zoom or in-person). Each distinct session format needs its own calendar.
One booking link for everything creates confusion. A 20-minute discovery call and a 90-minute coaching session are different commitments that need different intake questions, confirmation emails, and availability. Multiple calendars keep each offer type clean and professional.
Steps

Open Calendars
Click Calendars in the left navigation. Click New Calendar in the top right.

Choose the calendar type
Service Calendar: One-on-one slots. Class Booking: Multiple people book the same time. Round Robin: Distribute across a team. Event: Single one-time occurrence. Most coaches start with Service Calendar.

Name and set duration
Give the calendar a public-facing name. Set the session duration, a description for the booking page, and the minimum advance notice required.

Set working hours
Define available days and hours specific to this calendar. A discovery call calendar can have different hours than your main coaching calendar.

Add meeting location
Set a static Zoom link, Google Meet link, in-person address, or phone call. This information goes into the booking confirmation automatically.

Publish and copy the link
Save and activate. Copy the booking URL. Each calendar has its own unique link.
Common Mistakes
- One calendar for all session types. Different formats need different intake questions, confirmation emails, and availability windows. Keep them separate.
- Wrong timezone on the calendar. Confirm your account timezone in Settings → Business Profile matches your working location.
- No description on the booking page. Prospects read the description before booking. Tell them what the session covers, what to prepare, and what happens next.
