How to Build an Appointment Reminder Sequence

The average no-show rate for unconfirmed coaching calls is 20–40%. A simple automated reminder sequence — email 24 hours before, SMS 1 hour before — reduces no-shows to under 5% for most creators. Twenty minutes of setup once saves hours of rescheduling permanently.

Recommended Timing

  • Email 24 hours before: Confirmation with session details and meeting link
  • SMS 1 hour before: Brief and direct — "Your call starts in one hour. Here is the link."
  • SMS 10 minutes before (optional): For high-ticket calls only

Steps

1
Go to Automation → Workflows → Create Workflow
2
Set trigger to Appointment Scheduled
Select your specific calendar if you have more than one.
3
Add a Wait step set to "24 hours before the appointment time"
Then add a Send Email with session details and meeting link.
4
Add another Wait set to "1 hour before"
Then add a Send SMS.
5
Use appointment merge variables in your messages
MONDAi provides variables for appointment date, time, and the client name.
6
Toggle to Active
7
Test by booking a test appointment on your calendar
Confirm both reminders arrive at the correct times.

Common Mistakes

  • Building reminders without first completing calendar setup.
  • Not using appointment time variables — static reminder times are never accurate.
  • Not including the meeting link in the reminder.
  • Only setting up one reminder — the 1-hour SMS drives the highest show rates.
