The contact record is the full story of a person's relationship with your business. Every email they opened, every form they submitted, every purchase, every conversation. The activity timeline captures all of this automatically — your notes complete the picture with the context a platform cannot capture on its own.
Steps

Open the contact record
Click any contact's name in Contacts. Their full profile opens with a tabbed section for Activity, Notes, Tasks, and more.

Review the activity timeline
Click the Activity tab. The complete chronological record of every interaction is automatically populated: emails sent and opened, forms submitted, purchases made, workflows entered, conversations, tags added.

Add a note
Click Add Note. Type anything relevant that the platform cannot capture automatically: what they told you on a call, their situation, what you observed about their needs.

Create a task
Click Add Task to create a follow-up action tied to this contact. Set a due date and assign it to yourself or a team member.

Pin important notes
Use the pin option for notes that should always be visible when you open the record. Pinned notes appear at the top of the notes tab regardless of chronological order.
Common Mistakes
- Only reading the timeline when something goes wrong. Before reaching out to any contact, open their record and read the last 5 timeline entries. It takes 30 seconds and transforms the quality of your outreach.
- Not adding notes after calls. Add a note immediately after any conversation with a contact. One sentence is enough.
- Tasks with no due date. A task without a due date is just a note. Always set a due date.
