A smart list is a dynamic contact segment that updates automatically as contacts meet or stop meeting its filter criteria. Create it once and it stays current. Every new contact who matches the filters is added automatically. Every contact who no longer matches is removed automatically.
Steps

Go to Contacts
Click Contacts in the left sidebar.

Click the Filters or Smart List button
Look for a filter icon or Smart List option above the contact list.

Add your first filter condition
Examples: Tag Contains "Lead:", Last Activity is more than 30 days ago, Country equals United States.

Add additional conditions as needed
Multiple conditions work as AND logic by default — the contact must meet all conditions.

Save the smart list
Give it a clear descriptive name.

Use it in broadcast campaigns
When creating an email broadcast, select this smart list as the recipient group.
Useful Smart Lists to Build Now
- Active Leads: Has tag "Lead:" AND no tag starting with "Buyer:"
- Recent Buyers: Has tag "Buyer:" AND contact created in the last 30 days
- Inactive Contacts: Last email open was more than 90 days ago
- Course Students: Enrolled in a specific course
Common Mistakes
- Building a smart list once and never revisiting the filter criteria.
- Using AND logic when you need OR — if you want contacts who have either of two tags, the filter structure is different.
- Creating smart lists with no naming convention.
- Not using smart lists for broadcasts — sending to the full unsegmented list when a smart list would be more appropriate.
