Workflows are the backbone of a business that runs without you having to be present for every interaction. Every time someone fills in a form, buys a product, or misses a session, a workflow is what decides what happens next. Building them used to require understanding triggers, conditions, delays, and action types. Workflow AI removes most of that friction.

Steps
Go to Automation → Workflows and click New Workflow. You will see the option to start from blank, from a template, or Build with AI. Click Build with AI.
A text input will appear. Type what you want the workflow to do. Be specific about the trigger, the actions, and any timing. Here are examples at different levels of detail:
- Basic: "When someone fills in my discovery call form, send them a confirmation email and a reminder 24 hours before the call."
- Better: "When a contact submits the form tagged Discovery Call, wait 5 minutes then send a confirmation email, add the tag Prospect, and create a task for me to review their form answers. 24 hours before the appointment send a reminder SMS."
The second prompt generates a significantly more useful workflow structure.
The AI builds a workflow and displays it in the visual builder. Examine each node: the trigger, the conditions, the wait steps, the actions. What it generates is a structure, not a finished workflow. You will need to fill in content like email subject lines, message copy, and any specific field mappings.
Click each action node to complete it. Write or paste your actual email content. Adjust any wait times to match your real offer timeline. If the AI included a step you do not need, delete it. If it missed something, add it. The AI builds the skeleton. You add the substance.
Use the Test Workflow option and select a test contact. Walk through the full sequence. Confirm emails arrive, tags apply, tasks create, and SMS messages deliver. Testing in the builder interface shows you the logic but does not replace a live test send.
Toggle the workflow to Active. It will now fire for any contact that meets the trigger condition. Monitor the workflow's activity log for the first 24 to 48 hours to confirm it is running as expected.
